About this policy
This policy explains how Avara Digital handles personal information in connection with this website and project enquiries. Our privacy contact is Matt Loder at Avara Digital. You can reach us at contact@avaracollective.co.za.
Information we receive
When you contact us, you may provide your name, email address, company, phone number, website address, project type, indicative budget and project description. Required fields are marked on the form. Optional fields help us understand your enquiry; you can leave them blank. Please do not include sensitive personal information or details about other people unless necessary and authorised.
The hosting service may process technical information such as your IP address, browser details, requested pages and access times to deliver and secure the website. Cloudflare uses your IP address to limit repeated enquiry attempts in a 60-second window. Turnstile processes technical information to verify that submissions come from people; the rate-limit counter does not contain your message.
Why we use it
We use enquiry details to respond to you, understand your requirements, prepare a proposal and communicate about a potential or agreed project. We process information with your permission, to take steps towards an agreement you request, to perform an agreement, or where another lawful basis applies, such as protecting the website from abuse or meeting a legal obligation.
Sending an enquiry does not subscribe you to a newsletter or marketing list. Providing enquiry information is voluntary, but without the required contact details and project description we may be unable to respond.
Keeping information safe
We take reasonable technical and organisational measures to protect personal information. Enquiry messages are not saved to a website database by the contact form; delivered enquiries are handled through email and subsequent project correspondence. Hosting logs and security counters are separate from enquiry messages.
We retain information for as long as reasonably needed for the purpose for which it was collected, including responding to an enquiry, managing an agreed project and meeting applicable recordkeeping obligations. Retention can differ by record type. We delete or de-identify information when it is no longer needed, subject to lawful retention requirements.
Your choices and rights
Subject to POPIA and applicable exceptions, you may request confirmation of whether we hold your personal information, request access, ask for correction or deletion, object to processing, or withdraw consent where processing is based on consent. Withdrawal does not affect processing that was lawful before withdrawal. We may need to verify your identity before acting on a request.
Send a privacy request to contact@avaracollective.co.za. You may also lodge a complaint with South Africa’s Information Regulator.
Updates to this policy
We may update this policy when the website or our information practices change. The date above shows the latest version. For questions about this notice or your personal information, please email contact@avaracollective.co.za.
